1. Introduction

These Terms and Conditions govern the provision of virtual assistant (VA) services by Virtual Pro Workforce  under the domain name www.hellovpw.com (“Company,” “We,” “Us,” or “Our”) to clients (“Client,” “You,” or “Your”). By hiring our services, you agree to abide by these terms.


2. Scope of Services

Our virtual assistant services cover multiple industries, including but not limited to:

Operations & Administrative Support

  • Call Centre & Customer Support
  • Marketing & Digital Services
  • Logo & Graphic Designing
  • Telesales
  • Lead Generation
  • General Admin
  • Appointment Setting
  • Other custom business support services

Pricing Models:

  • Per-hour rate
  • Monthly subscription
  • Contractual agreements
  • Per-project basis

3. Hiring Procedure & Selection Process

3.1 Client Inquiry: The Client submits a request outlining required services.
3.2 Consultation & Proposal: We assess the Client’s needs and propose a tailored package.
3.3 VA Assignment: Based on the Client’s requirements, we select and assign the most suitable Virtual Assistant.
3.4 Onboarding & Service Agreement: A contract is signed before service delivery begins.


4. Payment Terms

4.1 Accepted Payment Methods: Payments can be made via credit/debit card, bank transfer, or an approved online payment gateway.
4.2 Billing Cycle: Payments are due upfront or as per agreed terms.
4.3 Non-Payment & Declined Payment: Services may be suspended immediately if a payment is declined or not received within the due date. Late fees may apply.
4.4 Confidentiality & Sensitive Information Collection: Certain personal and financial details must be provided to process payments securely. We may share necessary information with third-party payment processors to fulfill payment obligations.


5. Cancellations & Refund Policy

5.1 Cancellation by Client:

  • Clients must provide a minimum of  3 working days written notice for cancellations.
  • A cancellation fee of 2% may apply, depending on the service type.
  • Refunds are subject to review and approval based on service usage.

5.2 Cancellation by Company:

  • We reserve the right to cancel services due to violations of these Terms, non-payment, or other justifiable reasons. In such cases, the Client will be notified in advance where applicable.

5.3 Cooling-Off Period:

  • A 5 day cooling-off period applies for first-time Clients, during which they may cancel services with limited penalties.

6. Termination of Contract

6.1 By the Client:

  • Clients under contractual agreements must provide 7 days written notice before terminating an agreement.
  • Any unpaid balance for services rendered must be settled before termination is finalized.

6.2 By the Company:

  • We may terminate services if the Client violates policies, engages in unethical conduct, or fails to pay for services.
  • Employees under contract will be notified in accordance with UK labour laws.

7. Privacy Policy & Data Protection (GDPR Compliance)

7.1 Data Collection & Usage:

  • We collect personal and financial data only for service delivery and payment processing.
  • Data may be shared with third-party service providers for operational purposes.

7.2 Client Consent:

  • By accepting these terms, you agree that we may collect and process your information as necessary.

7.3 Confidentiality:

  • All client data and business operations remain strictly confidential.
  • Non-disclosure agreements (NDAs) may be signed upon request.

8. Dispute Resolution & Governing Law

8.1 Dispute Handling:

  • We aim to resolve disputes amicably. If not resolved, legal proceedings will be subject to UK jurisdiction.

8.2 Governing Law:

  • These Terms and Conditions are governed by the laws of the United Kingdom.
